Terms of Service for Northstar Vlog Studio

1. Introduction and Acceptance of Terms

These Terms of Service (the “Terms”) govern your access to and use of the services, facilities, website, booking system, and related offerings provided by Northstar Vlog Studio, located at 1450 Robson Street, Vancouver, BC V6G 1C1, Canada (“Northstar Vlog Studio,” “we,” “us,” or “our”).

By booking, accessing, or using any service offered by Northstar Vlog Studio, you agree to be bound by these Terms and all applicable laws and regulations of Canada and the Province of British Columbia. If you do not agree to these Terms, you must not use our services.

These Terms apply to all clients, guests, contractors, and other persons who access or use our services, including studio rental and production support services.

2. Scope of Services

Northstar Vlog Studio provides the following services, subject to availability and booking confirmation:

  • Vlog filming studio rental
  • Professional lighting and camera setup
  • Audio recording and sound treatment
  • Green screen and backdrop production
  • Video editing support
  • Content planning consultations
  • Social media reel and short-form video production

We may modify, suspend, or discontinue any service, feature, equipment, or studio area at any time, with or without notice, subject to any confirmed booking obligations and applicable law.

Unless otherwise agreed in writing, Northstar Vlog Studio provides services on a non-exclusive basis and does not guarantee specific outcomes, audience reach, engagement, monetization, or commercial success.

3. User Obligations and Responsibilities

By using our services, you agree to:

  • Provide accurate, current, and complete information when booking or communicating with us;
  • Arrive on time and use the studio only during the reserved booking period;
  • Comply with all instructions provided by our staff regarding equipment, safety, and studio use;
  • Use the studio, equipment, and services in a lawful, respectful, and non-disruptive manner;
  • Not bring prohibited items, hazardous materials, illegal substances, weapons, or dangerous props onto the premises;
  • Not engage in harassment, discrimination, abusive conduct, or any activity that interferes with the safety or enjoyment of others;
  • Be responsible for the conduct of your guests, crew, contractors, and any other persons you invite or permit to enter the premises;
  • Obtain all necessary permissions, releases, licenses, and consents for any content you record, produce, edit, or distribute using our services;
  • Ensure that your use of our services does not infringe any third-party rights, including copyright, trademark, privacy, publicity, or moral rights;
  • Immediately report any damage, malfunction, injury, or safety concern to Northstar Vlog Studio staff.

You are responsible for any loss, damage, cleanup costs, repair costs, or replacement costs arising from your use of the studio, equipment, or services, except to the extent caused by our gross negligence or willful misconduct.

We reserve the right to refuse service, remove any person from the premises, or terminate a booking without refund if we reasonably determine that a person has violated these Terms, created a safety risk, or interfered with studio operations.

4. Payment Terms and Conditions

All fees, rates, deposits, taxes, and charges will be disclosed at the time of booking or in a written service agreement. Unless otherwise stated, prices are in Canadian dollars (CAD).

  • Payment may be required in full at the time of booking or in accordance with an invoice issued by Northstar Vlog Studio.
  • We may require a deposit, security hold, or pre-authorization for certain bookings, equipment use, or production services.
  • All applicable taxes, including GST, PST, or other government-imposed charges, will be added where required by law.
  • Late payments may be subject to interest, administrative fees, or suspension of services to the extent permitted by law.
  • You are responsible for all charges incurred by you or your guests, including overtime, damage, cleaning, replacement, and special equipment fees.

If a payment is declined, reversed, disputed, or charged back without valid cause, we may suspend services, cancel bookings, and recover reasonable collection costs and administrative expenses as permitted by law.

Promotional pricing, discounts, and package rates, if offered, may be limited in time, subject to eligibility requirements, and revoked if abused or misused.

5. Cancellation and Refund Policy

Cancellations and rescheduling requests must be made in accordance with the booking terms provided at the time of reservation. If no specific booking policy is provided, the following default policy applies:

  • Cancellations made more than 72 hours before the scheduled booking may be eligible for a refund, less any non-refundable processing fees or deposits expressly identified as non-refundable.
  • Cancellations made between 24 and 72 hours before the scheduled booking may be eligible for a partial refund or credit at our discretion, unless otherwise required by law or agreed in writing.
  • Cancellations made less than 24 hours before the scheduled booking are generally non-refundable.
  • No-shows, late arrivals, and unused booking time are non-refundable.
  • Rescheduling is subject to availability and may incur an administrative fee.

Refunds, if approved, will be issued to the original payment method within a reasonable period, subject to processing times of financial institutions.

If Northstar Vlog Studio must cancel a booking due to operational reasons, safety concerns, equipment failure, or circumstances beyond our control, we may, at our discretion, offer a rescheduled booking, service credit, or refund for the affected portion of the booking, subject to applicable law.

Any custom production work, consultation time, editing work, or specially ordered materials that have already been commenced, delivered, or incurred may be non-refundable.

6. Liability Limitations

To the fullest extent permitted by applicable law, Northstar Vlog Studio, including its owners, directors, officers, employees, contractors, and agents, shall not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including loss of profits, loss of business, loss of data, reputational harm, or loss of opportunity arising out of or related to your use of our services.

To the fullest extent permitted by law, our total aggregate liability for any claim arising out of or relating to the services, whether in contract, tort, negligence, strict liability, or otherwise, shall not exceed the total amount paid by you to Northstar Vlog Studio for the specific service giving rise to the claim during the three (3) months preceding the event giving rise to the claim.

Nothing in these Terms limits liability that cannot be limited under applicable law, including liability for fraud, gross negligence, or willful misconduct, or any other liability that cannot lawfully be excluded or limited.

You acknowledge that studio activities may involve inherent risks, including but not limited to slips, trips, falls, equipment handling, electrical equipment, lighting heat, cables, props, and moving objects. You assume all risks associated with your use of the premises and equipment, except to the extent caused by our gross negligence or willful misconduct.

You are responsible for securing your own insurance coverage, including general liability, equipment, production, and content insurance, if appropriate for your activities.

7. Intellectual Property Rights

Unless otherwise agreed in writing, all intellectual property rights in and to Northstar Vlog Studio’s website, branding, templates, workflows, studio designs, proprietary materials, consultation materials, and pre-existing content remain the exclusive property of Northstar Vlog Studio or its licensors.

Subject to full payment of all applicable fees, you will own the final deliverables specifically created for you under a written agreement, except for any Northstar Vlog Studio pre-existing materials, stock assets, software, templates, fonts, music, third-party assets, or tools incorporated into the deliverables, which remain subject to their respective licenses and ownership rights.

You represent and warrant that any content, footage, audio, images, scripts, logos, music, or materials you provide or request us to use do not infringe the rights of any third party and are lawfully licensed or authorized for the intended use.

Unless you notify us otherwise in writing before the booking or project begins, you grant Northstar Vlog Studio a limited, non-exclusive, royalty-free license to use your name, logo, project title, and non-confidential excerpts of completed work solely for portfolio, promotional, and marketing purposes, subject to applicable privacy laws and any written restrictions agreed between the parties.

Any unauthorized reproduction, distribution, or commercial use of our intellectual property is prohibited.

8. Data Protection and Privacy

Northstar Vlog Studio collects, uses, stores, and discloses personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable British Columbia privacy requirements.

We may collect personal information such as:

  • Contact details and booking information;
  • Payment and invoicing information;
  • Communications and service preferences;
  • Images, audio, and video captured during studio sessions, where applicable;
  • Technical and usage information related to our website or booking systems.

We use personal information to provide services, manage bookings, process payments, communicate with clients, improve operations, comply with legal obligations, and protect our rights and property.

We take reasonable administrative, technical, and physical safeguards to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

By using our services, you consent to the collection, use, and disclosure of your personal information as described in our privacy practices and as reasonably necessary to provide the services.

If you capture or process personal information of third parties during your use of our services, you are solely responsible for obtaining all required consents and complying with applicable privacy laws.

9. Force Majeure

Northstar Vlog Studio shall not be liable for any delay, failure, interruption, or inability to perform its obligations due to events beyond our reasonable control, including but not limited to acts of God, fire, flood, earthquake, severe weather, power outages, internet failures, labour disputes, government actions, public health emergencies, war, terrorism, civil unrest, equipment failure not caused by our negligence, or supply chain disruptions.

In the event of force majeure, we may suspend, reschedule, or cancel affected services without liability, except for any refund or credit obligations expressly required by law or agreed in writing.

10. Changes to Terms

Northstar Vlog Studio may update or revise these Terms from time to time to reflect changes in our services, business practices, or legal requirements. The revised Terms will be effective when posted on our website or otherwise communicated to you, unless a later effective date is stated.

Your continued use of our services after the effective date of any revised Terms constitutes your acceptance of the updated Terms. If you do not agree to the revised Terms, you must discontinue use of our services.

11. Applicable Law and Jurisdiction

These Terms and any dispute, claim, or controversy arising out of or relating to them, the services, or your use of Northstar Vlog Studio shall be governed by and construed in accordance with the laws of the Province of British Columbia and the federal laws of Canada applicable therein, without regard to conflict of law principles.

Subject to any mandatory consumer protection or other applicable law, you agree that the courts located in Vancouver, British Columbia shall have exclusive jurisdiction and venue over any dispute arising from or relating to these Terms or the services.

13. Severability Clause

If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, that provision shall be severed to the minimum extent necessary, and the remaining provisions shall continue in full force and effect.

If any invalid or unenforceable provision can be modified to make it valid and enforceable, it shall be deemed modified to the minimum extent necessary to achieve that result while preserving the original intent as closely as possible.

These Terms constitute the entire agreement between you and Northstar Vlog Studio regarding the subject matter hereof, unless supplemented by a separate written agreement signed by both parties.
